1. Create a new copy of the Quickbooks desktop file to Edit.
These steps are:
- Click File on the desktop
- Click the Back-Up Company button.
- Create a Local Backup from the list.
- Select financial data to store in your backup locally, then click the blue Next button.
- Select Browse to where you want to save this file. Review “Complete Verification” and then click on the big OK button in the window.
- Select to save your backup now and click the blue Next button.
2. Remove Information from a QBM documented file.
- In the main menu on the Quickbooks desktop, click File
- Click on the Utilities Option under the file tab.
- Click on the Condense Data button from the list of Utilities.
- Select “Remove the transactions from the list and select the financial data which you want to remove from the Desktop Quickbooks file. and click Next.
- After selecting the data from the list otherwise, you can select data by just entering dates if applicable and clicking Next
- Click Yes on the Confirm
- And Then, It Asks “Are You Want to Remove Unused List Entries?” click Yes
- Click start Condense data.
3. Steps to open your Quickbooks file copy.
- In a Company, Open box click “Open or restore existing company” and click Next
- Select “Restore a backup copy” and click Next
- Select the option of Local backup and click Next
- Select the backup/copy file you just created and click Open and then Next
- On the “Save Company File as” screen name your file something completely different from your regular QuickBooks file and click Save
- Optional: Change the display name
- Click Company in the main menu then select My Company
- Click the pencil icon above Company Information
- Edit the Company Name field and click the blue OK button
